COMMERCIAL MANAGER  

JOB DESCRIPTION  


1. Depot Operations  


Ensuring proper storage of stocks and record keeping  


Ensuring compliance with policies such as credit control, payment terms etc,  


Selection, induction, motivation, training and development of depot staff  


Ensuring compliance of local laws such shop & establishment, minimum wages,  


employee rolls, leave register etc  


Periodic performance feedback to depot staff  


Annual performance review using appraisal format  


Increment and promotions of depot staff  


Ensuring timely payment of rent  


Agreements with land-lords including timely  


renewal of the same  
  
  


2 C&F Agents  


Agreements and timely renewal of the same  


Timely payment of C&F charges  


Timely settlement of debit notes  
  
  
  


3. Transportation of Stocks  


Identifying new transporters  


Negotiating rates  


Agreements with transporters  


Timely supply of trucks  


Deliveries at depots within agreed time frames  


Timely payment of transporters' bilis  
  
  
  


4. Claims of Wholesalers & Stockists  


Timely verification and settlement of claims  
  
  
  


5. Insurance (medical, marine,- godown and office)  


Updation of records employees, capital  


assets, godowns & offices  


Timely renewal of policies  


Timely payment of premium  


Timely submission of claims  


Follow up of claims with insurance companies  
  


6. Employee Welfare  


PF, Mediclaim, superannuation, gratuity Updation of records for above  


Final settlement of accounts of ex-employees  


Tracking probationers & confirmation of all employees  
  
  
  


7. Office Administration  


All administrative functions including maintenance of attendance record, leave record, office maintenance, purchase of stationery etc.  


Timely preparation of salary sheet of H.O staff  


Payment of bonus to all employees  


Co-ordinating with various government departments, vendors such as DOT, AEC etc.  


for upkeep of telepliones, electricity, electrical appliances etc.  


Maintenance of furniture & fixtures  
  
  
  


8. Sales tax & other levies (local sales tax, central sales - tax, VAT, TOT, Octroi, service tax etc.)  


Updation of rates  


Optimisation of rates through scanning of Acts and notifications and consulting  


Regional Heads and consultants  


Timely filing of returns  


Assessments  


Ensuring no loss to the company  


Filing of appeals  


Attending important hearings  


Maintaining close liaison with all consultants  
  
  


9. Trade Mark, Patent & Copyright  


New registrations  


Updation of current registrations  


Taking all suitable actions including legal/police action to ensure no infringement of company's registered trade marks and packaging, design and style  
  
  
  


10. Weight & Measures  


Ensure availability of all latest notifications and updation of all records  


Ensure that all company products comply with relevant provisions  


Co-ordinating with Regional Heads and consultants/lawyers  


Compounding/settlement of cases filed against the company

Attending important hearings for above  
  


11. PFA

Track and submit periodic status reports un pending PFA cases

Ensure all company products comply with relevant provisions  
  


12. Other Legal Matters

Replies to legal notices received by company on behalf of suppliers, customers, ex-employees etc.

Sending legal notices for recovery of outstandings from customers Taking all other legal action pertaining to

suppliers/ex-employees etc. Co-ordinating with consultants/lawyers for the above

Keeping self updated on changes in central, federal and local laws pertaining to products, employees etc.  


Authority Guidline of Commercial Manager  


AUTHORITIES (EXCLUSIVE)

1. Sanctions to depots for manpower and capital purchases

2. Ordering adhoc trucks subject to provisions of purchase policy

3. Purchase of stationery within provisions of payment policy

4 Ordering stationery and office supplies

1. Rate contract with transporters

2. Increments and promotions of support staff

3. Appointment and increments of H.O. administrative staff
